We’ve built a strong reputation for understanding the nuances of fintech talent and delivering exceptional results to over 35+ active clients across the EU and UK. With a team of 10+ dedicated professionals and growing, we’re expanding our internal operations to match the increasing demand and complexity of our work.
We’re looking for a highly organized, proactive, and detail-oriented Operations & Client Success Manager to join our core team.
You’ll work directly with the HHH founders, supporting their day-to-day operations, ensuring smooth communication with clients, and helping us stay organized as we scale. Your tasks will vary, which makes this role perfect for someone curious, energetic, and ready to grow.
🔍 Responsibilities:
- Coordinate the end-to-end client lifecycle: send contracts, issue invoices, and track payment flows.
- Manage document workflows — from signature follow-ups to organized digital archiving.
- Prepare post-meeting actions: draft summaries, outline next steps, and send follow-up comms.
- Keep founder calendars sharp: schedule and confirm client meetings, flag priorities.
- Maintain up-to-date CRM entries (Pipedrive), ATS updates (TeamTailor), and task dashboards.
- Track and optimize founders’ LinkedIn/email engagement with clients and candidates.
- Create and maintain lead lists, event calendars, and prospecting materials.
- Oversee finance-related operations: upload receipts, organize documents, and support reporting.
- Contribute to event planning and execution alongside the broader team.
🎓 Requirements:
- 2+ years in an operations, coordination, or administrative role (agency or startup background is a plus).
- Tech-savvy: fluent in productivity and CRM tools (Google Workspace, Pipedrive, etc.).
- Excellent written communication in English and Russian (Lithuanian is a strong plus).
- Proactive, resourceful, and highly organized — you anticipate what’s needed before it's asked.
- Experience in recruitment or FinTech environments is highly valued.
- Strong multitasking skills and a hands-on, can-do attitude.
- Comfortable working closely with founders and senior stakeholders.
